1.MAIN PURPOSE OF JOB

●To lead on the Discovery and Alpha phases of a new intranet for staff and volunteers at Samaritans.

 

2.SCOPE OF JOB

●Plan and project manage the delivery of a pilot intranet project through both the Discovery phase and Alpha pilot phase.

●Engage with staff and volunteers to understand how an improved intranet can lead to more effective communication flows; closer collaboration and engagement; and more efficient internal processes

●Undertake discovery activities and interpret research in order to understand the needs of volunteers and staff and create prioritised delivery plans to meet them in a cost effective and timely way.

●Commission and manage a digital agency to design and develop the core ‘knowledgebase’ element of the Alpha pilot intranet solution.

●Engage with users, advisers and suppliers to select and configure collaboration platforms to accompany the knowledgebase.

●Manage and migrate existing content and design new content as needed for an effective Alpha prototype.

●Take responsibility for the user experience for all user groups and plan changes to continually improve it.

●Establish processes for internal training, support and continuous improvement.

●Gather and report performance data against key indicators to generate actionable improvements to the quality of the intranet.

●Pro actively create and maintain a strong network of internal and external connections and propose partnerships which would strengthen products or systems.

●Work with a wide range of digital delivery disciplines and talent both internally and externally.

●Develop and maintain an effective programme of internal and external communications to inform and engage stakeholders and audiences with activity about the project.

●Champion the intranet project and engage with all the stakeholder groups, including volunteers operating out of 200+ locations across UK and Ireland.

●Support the Digital Team in creating a joined-up digital change programme for the organisation.

 

3.QUALIFICATIONS

●Educated to degree level.

●Recognised project management qualification e.g. Agile development and/or Prince2

 

KEY DUTIES & KEY RESPONSIBILITIES

 

●Planning, implementation and on-going improvement of the initial phase of the intranet overhaul.

●Developing and managing the project roadmap and delivery plans

●Developing, managing and monitoring project budget, priorities, KPIS and resourcing.

●Issuing progress reports and ensuring deadlines are met in a timely and efficient manner.

●Act as key interface between volunteers, executive, staff and suppliers.

●Matrix and line management of delivery teams.

●Monitoring associated budgets and allocation of resources.

●Proactive management and mitigation of project risk.

 

 

Special Circumstances

●Ability to work some evenings and weekends, including occasional travel across UK and Ireland is essential
